Job purpose
Administrative Assistant duties and responsibilities include providing administrative support to ensure efficient operation of the office. Supports the employees through a variety of tasks related to organization and communication. Responsible for confidential and time sensitive material. Ability to effectively communicate via phone and email ensuring that all Administrative Assistant duties are completed accurately and delivered with high quality and in a timely manner. Having a good attitude focusing on the company Culture, Mission, Purpose, and Values
Duties and responsibilities
Primary phone coverage with positive attitude and demeanor
BOL and confirmations with new PSG SOP process
Credit Card and Wex Card receipts and processing
Review vendor/Subcontractor profiles for 1099 accuracy and obtain applicable W9 information
Writing Subcontracts for Operations Managers and Project Managers
Ensuring Subcontractors have all of the correct insurance requirements
Maintains accurate, up-to-date, employee phone listing
Assists Finance team with misc duties for your office
Enters all new projects into Foundation and Project HQ for your office
Coordinate cross office events for your office to ensure involvement for all branches of
PSG, OpeN, and AAG
Maintain and purchase supplies for the office
Any misc. task to support the Operations Manager on a daily basis
Any other duties assigned
Qualifications
Three to four years of related work experience, an Associate degree.
Proven accuracy and attention to detail.
Excellent organizational skills.
Strong demonstrated ability to problem-solve in a technical environment and
ability to handle multiple tasks independently and with many interruptions.
Extensive experience with computerized spreadsheet program (s), proven
database experience.
Professional manner with excellent interpersonal skills for customer-oriented
department.
Reliable attendance, punctuality.
Great attitude with steadfast focus on the Company purpose, mission & values
Preferred: Experience with all Foundation Accounting systems.

The work conditions will be in a traditional office environment. Consideration will always be

values, as well as organizational culture.
Physical requirements
This position may require the following physical requirements: regularly required to stand, sit,
talk, hear, reach, stoop, kneel, and use hands and fingers to operate a computer, telephone, and
keyboard. Specific vision abilities required by this job include close vision requirements due to
computer work, and occasionally lifting, carrying, pushing and pulling heavy objects up to 50
pounds.
